I don’t have to tell you this entrepreneur gig is a wild ride. We are all here to hold space for reconnection, healing and love. And we also have to be able to keep the lights on in order to do so.
The last year at Freebird has been one of major learning, celebration and expansion.
We are planning our first major upgrade to maintain the space for all of us to enjoy. We are also revamping how we structure our planning, payments and cancelation policies.
After a rash of retreat cancellations due to low enrollment (see previously mentioned wild ride) we found ourselves in a tight spot to cover the basic costs for Freebird. If we have five weekends sitting vacant during the high season of summer in the mountains…it’s, well…not good.
It has been a precarious time for all of us navigating the unknowns of the global stage, and the retreat hosts who canceled were completely within their right, per the original host contact, to cancel.
And ultimately, this is how we learn and how business grows.
So, we are unveiling a new season of payment and cancelation policies and agreements at Freebird.
We are still offering 25% discounts to new hosts, as it is still incredibly important to us to help cultivate new business and connections in the Freebird space.
We are also offering returning hosts an extra night, on either end of their retreat, free of cost, as a show of gratitude for the continued partnership.
And, we are now splitting the payment up into 3 parts: 50% at booking, 25% 90 days out, and 25% the week before.
We’ve noticed that most hosts are looking and booking their space at least 3 moths prior to their retreat, if not well before that. Once the 3 months prior to the event window passes, it’s very difficult to rebook a canceled spot. So we are now asking for a full commitment, and 75% down, by 90 days prior to your retreat.
Full booking and cancelation policy as of September 2025 is as follows:
Deposit of 50% is due at booking. This deposit is nonrefundable, but transferable up to 90 days prior to your original booking/retreat start date. After passing the 90 days prior date, deposits are nonrefundable.
The second payment of 25% is due 90 days prior to your booking/retreat start date. This payment is nonrefundable.
The final payment of 25% is due 7 days prior to your booking/retreat start date. This payment is nonrefundable.
As we close out the 2025 season and look forward to 2026, we are excited for all the new to come. Let the wild ride continue!
